Manage activity plans

You can perform the following actions from the Activity Plans page. Click each option to view the corresponding details.

You can add a new activity plan from the Activity Plans page. For more information about adding a new activity plan, see Add a new activity plan.

In the Activity Plans page, you can view the list of activity plans that are in active and inactive status. For more information about the fields in this page, see Navigate the activity plans.

You can change the status of activity plans from active to inactive and vice versa. To change the status of an activity plan, perform the following steps:

  1. Click Admin.
  2. Under Workforce Management, click Activity Plans.
  3. From the Business Unit list, in the upper right corner, select the business unit.
  4. To make an active plan inactive:
    1. In the Active Plan section, select the activity plan.
    2. In the Actions column, click the to display the options.
    3. Click Make Inactive. The plan moves to the inactive plan section.
  5. To make an inactive plan active, perform the following steps:
    1. In the Inactive Plan section, select the activity plan.
    2. In the Actions column, click to display the options.
    3. Click Edit. The Activity Plan opens in edit mode.
    4. In the General tab, enable the Rule is Active toggle. 
    5. Click Save. The Activity Plan is now active and is available in the Active activity plans section.

  1. Click Admin.
  2. Under Workforce Management, click Activity Plans.
  3. From the Business Unit list, in the upper right corner, select the business unit.
  4. In the Active Plan section, select the activity plan.
  5. In the Actions column, click to display the options.
  6. Click Edit. The Activity Plan page opens in edit mode. 

When on the edit mode, you can make changes to the:

  • Name of the activity plan.
  • Rule is active toggle in the General tab.
  • Description of the activity plan in the General tab.
  • Attendee rules to the options in the Attendee tab.
  • Facilitator rules to the options in the Facilitator tab.
  • Service Goal override tab fields in the Service Goal Override tab. For more information about service goal settings, see Service goal templates overview.
  • Session Availability tab fields in the Session Availability tab.

You can make changes to the schedule period and the reoccurrences.

  1. Click Admin.
  2. Under Workforce Management, click Activity Plans.
  3. From the Business Unit list, in the upper right corner, select the business unit.
  4. In the Active Plan section, select the activity plan.
  5. In the Actions column, click the to display the options.
  6. Click Copy. A copy of the activity plan is created and opens for edit. All fields are editable and can be changed as required.

  1. Click Admin.
  2. Under Workforce Management, click Activity Plans.
  3. From the Business Unit list, in the upper right corner, select the business unit.
  4. Under the Rule Name column, click a link to proceed. The activity plan page displays with the schedule of the plan in a tabular format. Activity plans page displays the schedules and the run now button.

There are two ways to perform activity plans run.

  • Generate Schedule
    • Generate Schedule performs the run of the activity plans in all the schedules. They occur as per the schedules listed in the table in the Activity Plan page. The Occurrence Dates column displays the dates when an Occurrence has been ran. It also displays additional details such as:
      • Date
      • Run Date
      • Sessions
      • Scheduled Attendees
      • Unscheduled Attendees
      • Facilitated
      • Related Schedules
      • Actions, which you can use to delete the occurrence.
    • Click an occurrence to view the Occurrence Details page, which displays the details of the occurrence and the sessions generated:
      • Date
      • Start Time
      • Schedule
      • Published
      • Scheduled Attendees
      • Facilitator
      • Actions, which you can use to view the occurrence in a schedule and view the attendees by clicking the corresponding options.

You can export these details to a CSV file and view the attendees list. 

  • Ad hoc run
    • Ad hoc run of the activity plans occur when you want to include the activity plan to the upcoming schedules. To perform an ad hoc run of the activity plan, do the following:
      • On the right corner of the page, click Run Now. A notification message displays that the activity plan run is in progress followed by a confirmation message that the run is complete. The Activity Plans page displays the Last Run Date column, corresponding to the activity plan, which was being run displays the date on which it was run.
        Note: Ad hoc run of activity plans impact only schedules that are already generated. The system will add the activity plans for the generated schedules for future occurrences. It tries to include the activity plan to schedules only except for schedule generation. When a schedule is in the process of being generated, it includes all activity plans in scope and then creates a schedule.   1. Click Admin.
  2. Under Workforce Management, click Activity Plans.
  3. From the Business Unit list, in the upper right corner, select the business unit.
  4. Under the Rule Name column, click a link to proceed. The Activity Plan with the occurrence details is displayed.Activity plans page displays the schedules and the run now button.
  5. Select the occurrence that you want to delete and click the Three dots icon. 
  6. Click Delete .

The selected occurrence is deleted. When you delete an occurrence, it impacts the dates and sessions on which the occurrence was present. The Activity Plan when published during the next scheduled run is updated with the changes made.
