Synchronize time-off requests

Prerequisites 
  • Workforce Management > Time Off Request > View permission

When the time-off request does not have a scheduled time-off activity, or if the time-off request does not have a matching schedule, then the Show Time-Off Request Differences icon appears at the top of the schedule.

The Warning icon appears when there are time-off requests that need synchronization. Click the icon to open the Time-Off Synchronization dialog box, where you can review the differences and apply a default fix for each difference. This fix is applied automatically when you select a line item and click OK.

Note: The request value is always used, since changes to requests should be done in the time-off requests view and then applied back to the scheduled time-off activities.

  1. Click Admin.
  2. Under Workforce Management, click Schedules.
  3. In the upper right corner, click the Business Unit list and select the desired business unit.
  4. (Optional) To change the time zone in which you view data, in the upper right corner select the current time zone list.
    Note: By default, the view uses the business unit’s time zone.
  5. Search for the desired schedule and select it from the list. The Schedule Editor opens.
  6. Click the Show Time-Off Request Differences icon as indicated above. You can also click the Select Action drop-down available on the right corner of the editor. From the list, click Show Time-Off Request Differences.
  7. The Time-Off Synchronization dialog box opens.
    Note: The scheduled time-off activities shown in this dialog box either differ from the associated time-off requests, or do not have a backing time-off request.
    • To apply the automatic fix to all differences, select all check boxes.
    • To apply the automatic fix to only certain differences, select only the applicable check boxes.
    • To refresh the dialog box, click the arrow at the end of the Select Action drop-down and select Show Time-Off Request Differences, or press Ctrl+V
      Note: Any edits to already synchronized time-off requests are not resolved automatically. Administrators must perform a reschedule to synchronize the latest notes changes to the time-off request activity on the schedule editor. 
  8. Click Publish. When you publish the schedule without synchronizing the time-off requests, the Publish dialog box displays a message to inform you that time-off requests await synchronization and to click the Warning icon on the toolbar. If time-off requests must be removed, you can remove them via the Time-Off screen. 
  9. The Publish Schedule dialog box displays. Click OK

When approved time-off requests are auto-published, then the Modified By column in the Schedules page appears with a System status that indicates the schedules are auto-published.
