Prerequisites

The following permissions:

  • Authorization > Grant > Add
  • Authorization > Grant > View
  • Authorization > Role > View

Important:  The license that each role uses corresponds to the most expensive permission assigned to the role. The license represents the cost associated with assigning the role. 

Assign roles and divisions

Assign additional roles and divisions for members of your organization who should have more permissions than the default employee role allows. For more information, see Roles and permissions overview. Roles and permissions are directly associated to license assignment. You can assign a role to an individual, and you can assign individuals to a role.

  • Assign a role to an individual. Assign one or more roles to an individual by opening a user’s profile in the administrator view. If a role does not meet the user’s existing license assignment, administrators can update the user to the appropriate license.
  • Assign people to a role. Assign roles to several people at once from the Manage Roles and Permissions page.

Note: If the Division-Aware Role Management setting is enabled at the organization level, then admins must have the relevant permission on a per-division basis to provide role grants for users. For more information, see Enable division-aware role management.

  1. Click Admin.
  2. Under People and Permissions, click People.
  3. Find a user using search or by paging through the list.
  4. Click More  and from the menu that appears, click Edit Person. The view opens to the Roles tab.
  5. Under View, select All.
  6. In the Search box, begin typing the first few letters of the role you want to add and select it from the list.
  7. In the Assigned column, click to enable the role for the user.
  8. (Optional) To add divisions to the role, do the following:
    1. Click in the Divisions box.
    2. Begin typing the first few letters of the division you want to add and select it from the list.
  9. Repeat steps 6–8 to assign additional roles.
  10. Click Save.

  2. Under People and Permissions, click Roles/Permissions.
  3. Locate the role to which to assign people.
  4. In the Actions column, click More .
  5. From the menu that appears, click Change Membership.  
  6. From the Search list:
    Select this… To do this…
    Search Assign the role to individuals
    By Group Assign the role to members of groups
    By Division Assign the role to members of divisions
    Reports To Assign the role to people with the same manager
    Location Assign the role to people at the same location
    1. In the field, begin typing a search query and select from the suggestion menu.
    2. Choose people by selecting check boxes, or select all people by selecting the check box in the column header.
    3. Click Save.

Assign a licensing add-on

To unlock the desired roles and permissions, you must assign the minimum required license. For more information about licenses, see Manage Licenses and Billing FAQs.

The Divisions & Licenses tab helps administrators clarify options when configuring a user’s add-on options. If an add-on is available to the user, it appears on the Divisions & Licenses tab under Available Add-ons. When a user is assigned an add-on, an asterisk appears next to the user license. Hover over the asterisk to view the add-on:

  1. Click Admin.
  2. Under People and Permissions, click People.
  3. Search for or navigate to the user for which you want to assign an add-on.
  4. Click More
  5. From the menu that appears, click Edit Person.
  6. On the Divisions & Licenses tab, under Available Add-ons select the license to assign to this user.
  7. Click Save

View users assigned to a role

  1. Click Admin.
  2. Under People and Permissions, click Roles/Permissions.
  3. Locate the role for which you want to view members.
  4. Click More .
  5. From the menu that appears, click Change Membership.  

Genesys Cloud displays the users assigned to the role.
